Advisement

Each All-Square club will receive an OSA advisor. It is each club's responsibility to meet in person with their advisor at the beginning of the year. During the Initial Advisement Session, the club and advisor will review the club constitution, budget, and plan of action for the year. At the end of the fall semester, advisors will hold a Mid Year Review via e-mail to discuss the club's successes and difficulties throughout the first semester. No later then the last day in April, clubs must meet in person with their advisor, to hold an End of the Year Evaluation

Budgeting/Club Funding

Academic year funding is available for Office of Student Activities (OSA) registered clubs with All Square Status. All Square eligibility is determined by the Student Activities Board (SAB) and funding is allocated by the All Square Student Budget Allocation Committee (ASSBAC). New and Returning ASSBAC clubs apply for each year's funding in the spring of the preceding academic year. New clubs that receive All Square Status but not in time to apply for full academic year funding may apply each October for funding for the following spring semester. New Clubs in development may, at the discretion of the new club advisor, apply for seed funding. The Office of Student Activities conducts yearly workshops to assist club members with the ASSBAC budget application process.

Club Registration

All OSA registered clubs and organizations must register with OSA each year in order to maintain their status as an OSA registered club and to continue to qualify for the privileges allowed such clubs. All clubs must hold an open election during the month of March and re-register with the Office of Student Activities by June 01 in order to maintain club status and privileges.

After June 01, all clubs that have failed to register will be referred to the Student Activities Board for review. Your status as an OSA registered club expires on August 31 along with all of your OSA registered club privileges. Until OSA is notified by SAB that you may re-register, your status as an OSA registered club is no longer valid.

Change of Club Information

In order to register the change of club information with the Office of Student Activities, the club must follow the instructions below.

  • 1. Changing Club Name, Mission, or Constitution
    All-Square clubs must petition the SAB in writing for approval to make any changes to their club name, mission or constitution. No changes may be ratified or instituted by the club until they are notified by SAB that the change has been approved. A copy of the petition letter, a copy of the club's old constitution, and a copy of the new constitution with the revisions highlighted should be sent to the SAB, Kimmel 7th floor, box 216.  The SAB chair can be reached at SAB, Kimmel 710, 212-998-4985, sab.club@nyu.edu
  • 2. Club Category
    To change your All-Square club category, any of the club officers registered with OSA should send an email or letter to their OSA club advisor, Kimmel 704, 212-998-4700, notifying them of the proposed change.  OSA will notify the club officers via email of the status of their request.  OSA reserves the right to deny changes when the mission of the All-Square club is out of sync with the category they propose to be changed to.
  • 3. Club Officers
    The All-Square club’s president or treasurer should notify OSA of any
    changes in officers by completing the appropriate on-line OSA “Change
    of Officer Form” at http://www.nyu.edu/clubs/secure/clubpro/ and following the submission instructions on the form.  Incomplete forms will delay your
    successful registration and in some cases delay club access to their
    web site, club alias, the “OSA Club Program Form”, All-Square club
    funds, and room reservations.  All-Square clubs are required by the SAB
    to maintain at all times a full executive board consisting of a
    President, VP, Secretary and Treasurer.

Event Planning

As clubs start planning for events an OSA On-line Club Program Form must be completed and reviewed by the OSA Club Advisor. Only the President and Treasurer of the club can complete a club program form. A Club Program Form must be filled out ten (10) or more days prior to activities to be held in other NYU venues with a capacity of less then 100 people. Submit the form thirty (30) or more days prior to activities to be held in Kimmel's Rosenthal Pavilion, E&L Auditorium (Kimmel 4th flr), Shorin Performance Studio (Kimmel 802), Kimmel 405-406, Kimmel 905-907, Kimmel 912-914, the Skirball Theatre or other NYU venues with a capacity of 100 people or more. If necessary, a meeting should be scheduled with your advisor to go through the steps and to ask questions. In this meeting, the club advisor is to look over the "missing pieces." This may include making sure performers will be contracted, room set-up suggestions, lighting or sound system information, selling tickets at Ticket Central and at the door, safety deposit drop, security needs, and additional references. If the program is a major event, club officers must schedule a production meeting with the Kimmel Operations Staff.

Club and Organization List Serve Information

Clubs may create a List Serve for their organization with the approval of the Office of Student Activities. Club List Serves are for official club use only and may be canceled at the discretion of the Office of Student Activities. The List Serve may be used as a tool for posting events, discussing club business, or creating dialogue among members.

  • Fill out the form, providing all information on the owner and co-owner of the list, organization and list.

Club Websites

In order to request a new club website or change your current club webmaster, your organization must first register with the Office of Student Activities by the June 01 deadline. Once your organization has registered all five officers (President, Vice President, Treasurer, Secretary and Webmaster), the OSA Webmaster will automatically receive the information. Please be aware that if you do not register by June 01, any requests for websites in the fall semester maybe denied.

The All-Square Student Budget Allocation Committee (ASSBAC) is a standing committee of the University Committee on Student Life (UCSL) which serves as the mechanism for the allocation of All-Square funds. All-Square funds are provided by the Central Administration to help support the academic and social activities of student organizations that serve the entire New York University student community and whose membership is derived from more than one school of the University. It is the responsibility of the ASSBAC, with the approval of the UCSL, to establish policies and procedures in order to ensure that All-Square funds are equitably distributed to, and judiciously used by, student organizations.

The Student Activities Board is a standing committee of the University Committee on Student Life (UCSL) which serves as the mechanism for the regulation of club life at New York University. It is the responsibility of the SAB, with the approval of the UCSL, to establish policies and procedures for the formation and regulation of student organizations registered with the New York University Office of Student Activities (OSA). In addition, the responsibilities of the SAB include granting of All-Square status, assigning and monitoring office space available to registered student organizations, and arbitrating grievances involving student organizations.
